I notice that actions that were marked as done a while ago don't show up any more. Only actions that have been marked as done recently seem to be visible. Is this a feature or I'm just not setting up TR appropriately to be able to retrieve this information?

if you have archived your data file then all completed single actions or projects before the specified date were removed from the actual data file, it's useful to reduce the filesize anyway

I don't remember having archived the data file (but it is very possible that I did save it). I'd like to be able to preserve the done actions, though. I can handle the size of the file.

Is there any way to recover this information? I assume that the archived file is the one with extension bak.trx, right? If I open this file I will loose any information I might have added since the file was archived. Also, if I archive the main TR data file again, all the information about past done actions will be lost since it is replaced with the information the main TR data file has at the moment or archiving, right? [see edit below] This is not good. Many people might want to keep a historical with all the actions.

Does anyone have any good solutions for this? I guess one can do a "save as" with different dates on the file name but this seems a bit cumbersome.

edit: I did what I should have done before writing the message: try the archive functionality. I see that it creates a file with an automatically generated code. So it is not the backup file with bak.trx extension. This is good. Still not a good system, though, because it doesn't create a single file for archiving purposes but many. If you are interested in finding information about a completed project and you don't remember the date you archive the TR file it might be a bit of a pain to find this information.

What worries me more, though, is that now I'm pretty sure I didn't archive the main TR data file (for otherwise I would have the files created by doing 'archive' from the file menu and I don't have any) and yet I seem to have lost all the information about done actions.

Can you double check your filters? Nothing should have deleted your done actions (except the Archive function as mention in previous posts).

I checked the filters and they are set properly: only the done > done filter is activated and I don't see all the actions that I would say I had marked as done.

The problem is that, to be honest, now I cannot be 100% sure I never exported my data. So my question is: how does one go about recovering information about done actions? If you have created many files by using the export function (say you make an export every month as a backup) how do you find the information if you don't remember when you marked the action as done? If every time you do an export a new file is created, then finding this information can be a bit of a pain.

I can see your point. What would be your suggestion? How many Archive file do you have? Is it too much work to open them one by one and search for the action?

In the Archive functionality, you can choose to archive only Done projects or not (some users indicated that they wanted that option as some of their projects are never finished).

For monthly backup purpose, I would not use the Archive function. In 2.0.1 there was an option File Menu/Save To which we have now renamed to Backup in 2.2.1 as that is what the function do: create an exact copy of your current data file.

Hi Claire. Thanks for your response.

My suggestion would be to achieve something similar to what you have in Outlook. Outlook creates a single archive with all the past events. It is similar to the export feature, but a single archive is created and all past events that are added are appended to that archive. In this way, when you exported something from TR, unless you gave the file a different name on purpose, you would simply purge done actions from your main data file and would store them in a single file for all done actions.

However, I think there might be a bug in TR. As I said in my previous message, I cannot be 100% sure I never did an export. I talked to a friend who is also using TR, though, and she assures me she has never used the export feature (she had not even realized it existed) and yet she has lost all non-recent done actions. More precisely, her observation is that done actions that are older than 4 weeks disappear from TR.

We are going to do some testing to be sure before reporting anything as a bug but this is our hypothesis.

OK, false alarm. I went over the TR configuration with my friend and it turns out that she had one of her filters restricting the possibility of viewing done actions that were older than 4 weeks.

I still think it might be a good idea to be able to merge exports so that one can search through old projects more easily.

Hi Claire,

I would vote for a single archieve file if you are taking a vote. I only use the archieve option every 6 to 9 months as TR alows me to quickly see when a task/project was completed.
